    Connect Zenoti to QR Rx

    Zenoti setup is guided. Your clinic manager starts the request, your Zenoti Customer Success Manager enables the required package, and your Zenoti organization administrator follows the on-screen connection steps. QR Rx verifies one test appointment before the connection goes live.

    You do not need to build an integration.

    Zenoti already supports completed-appointment notifications. QR Rx provides the private URL and security values. Your team copies them into Zenoti with help from your CSM. Zenoti requires an active API and Webhooks subscription for this feature.

    1. Start with QR Rx

    You are working in QR Rx for this step.

    1. Open Settings → Integrations and select Zenoti.
    2. Click Start Zenoti pilot.
    3. Tell us your Zenoti organization name and the centers you want to connect.
    4. Tell us the name or email of your Zenoti CSM, if you know it.

    Do not include guest information, passwords, API keys, or screenshots containing patient details.

    2. Ask your Zenoti CSM to enable access

    You are contacting your Zenoti CSM for this step. Copy this message:

    Hi [CSM NAME], We are connecting our Zenoti account to QR Rx for post-visit aftercare. Please enable the Zenoti API and Webhooks package for these centers: [LIST CENTERS] We need the Appointment Completed webhook and restricted, read-only invoice access for the QR Rx app. Our organization administrator will configure the connection after access is enabled. Thank you.

    3. Add the completed-appointment webhook

    Your Zenoti organization administrator is working in Zenoti for this step.

    1. At the organization level, open Configuration.
    2. Open Integrations → Webhooks.
    3. Click Create a webhook.
    4. Under Appointment, select Completed, then click Next.
    5. Enter the name QR Rx completed appointments.
    6. Choose POST as the request type.
    7. Choose the Subscription Type QR Rx provides.
    8. Paste the URL, Secret, Header Key, and Header Value exactly as QR Rx provides them.
    9. Review the details, then click Complete.

    Zenoti's completion notice identifies the invoice, center, appointment, and service. QR Rx then uses restricted invoice access to retrieve the matching guest information. This is why both the webhook and limited API access are required.

    4. Give QR Rx limited read access

    Your Zenoti organization administrator and CSM should complete this together.

    1. Open Configuration and find Apps under Integrations.
    2. Create a separate app named QR Rx aftercare.
    3. Grant only the read permissions required for invoice, appointment, service, guest, and center matching.
    4. Do not grant booking, payment, refund, membership, or broad write permissions.
    5. Enter credentials only in the secure QR Rx connection form. Never email or chat them.

    5. Complete one test appointment

    1. Use a test guest controlled by your clinic.
    2. Book a recognizable service at one connected center.
    3. Mark the appointment completed in Zenoti.
    4. Open Care Feed in QR Rx.
    5. Confirm the guest, service, center, and appointment time.
    6. Repeat the delivery once and confirm a duplicate draft is not created.

    You are ready when

    • The test appointment appears exactly once in Care Feed.
    • The draft shows the correct Zenoti center and service.
    • The guest's name and approved contact channel are correct.
    • The Zenoti app has read-only, least-privilege access.
    • Automatic sending remains off until your team approves the mapping.

    If delivery stops later

    Zenoti retries failed webhooks, but it can automatically deactivate a webhook after repeated failures. Check Configuration → Integrations → Webhooksand the webhook failure log. Fix the issue before reactivating it.

    Need setup help?

    Open QR Rx support and include your organization name, center names, and approximate test time. Never send patient information, passwords, secrets, or API keys.
