    Connect Vagaro to QR Rx

    You do not need to write code or understand webhooks. QR Rx gives you a private delivery link. You copy that link into Vagaro, bring a few details back to QR Rx, and complete one test visit. After that, completed visits can appear as drafts in Care Feed.

    First, check that Vagaro has approved the feature

    Vagaro requires its APIs & Webhooks feature, credit card processing, and an account that is no longer in a free trial. Access approval can take up to seven business days. Vagaro's current feature details are available in its official webhook guide.

    1. Create the QR Rx connection

    You are working in QR Rx for this step.

    1. Open Settings → Integrations.
    2. Select Vagaro, then click Create Vagaro setup.
    3. Name the connection and select the QR Rx location it belongs to.
    4. Open the Connection tab and copy the webhook URL.

    Use the URL QR Rx displays. Do not reuse another clinic's or location's URL. The connection ID in that URL is how QR Rx keeps brands and locations separated.

    2. Create the Vagaro webhook

    You are working in Vagaro for this step. A webhook is simply the private delivery link you copied from QR Rx.

    1. In Vagaro, open Settings → Developers → APIs & Webhooks.
    2. Open the Webhooks tab and choose Create Webhook.
    3. Give it a clear name, such as QR Rx completed visits.
    4. Paste the QR Rx webhook URL into Webhook Endpoint URL.
    5. Select Appointments as the event type.
    6. Select only the location attached to this QR Rx connection.
    7. Create the webhook, then open View Details and copy the Verification Token.

    3. Save the API details in QR Rx

    You are back in QR Rx for this step.

    Return to Settings → Integrations → Vagaro → Connection. Enter the region, Client ID, Client Secret, and Verification Token. Save the details, then click Test API.

    A successful API test does not prove webhook delivery. It only confirms that the saved API credentials work. Complete the delivery test below before calling the integration live.

    4. Prove the complete workflow

    Use a test client controlled by your clinic. Leave automatic sending off until every check passes.

    1. Use Vagaro's Test Webhook action and confirm QR Rx reports a received event.
    2. Create a test client using contact details controlled by your clinic.
    3. Book a recognizable test service at the connected location.
    4. Mark the visit complete in Vagaro.
    5. Open Care Feed and review the new draft.
    6. Confirm the location, client, service, encounter date, and matched instructions.
    7. Repeat the webhook test once. QR Rx should not create a duplicate draft.

    Go-live checklist

    • The QR Rx API test passes.
    • Care Feed shows the correct Vagaro connection and location.
    • A completed test appointment creates exactly one draft.
    • The service maps to the expected aftercare card or care plan.
    • No message is sent while review mode is enabled.
    • Your team knows where to check connection health and failed events.

    If something does not arrive

    Vagaro rejects the URL

    Copy the URL again from QR Rx. It must begin with https:// and must not contain spaces.

    Test API says rejected

    Recheck the region, Client ID, and Client Secret. Re-enter saved secret fields only when you intend to replace them.

    The webhook test works, but no patient draft appears

    A transport test may not represent a completed appointment. Complete the controlled test visit, then check Care Feed and connection health.

    The service is unmatched

    Leave automatic sending off. Map the Vagaro service to the correct QR Rx template, then repeat the controlled test.
